Job Brief:
Our client is seeking a detail-oriented and proactive Administrative Assistant to manage company formation, licensing, visa processing, and related administrative tasks. The ideal candidate will ensure smooth coordination with clients, government authorities, and internal teams while maintaining accuracy and efficiency in all processes.

Job Responsibilities:
  • Coordinate with the Corporate Service Manager (CSM) or Corporate Service Executive (CSE) to ensure tasks are completed with high client satisfaction.
  • Handle company formation for mainland, free zone, and offshore entities, including post-licensing procedures and third-party registrations.
  • Manage company renewals and related documentation in compliance with UAE regulations.
  • Process UAE visas (residence, investor, employee, dependent, property visas) and handle visa cancellations and renewals.
  • Handle corporate banking services, including account opening, closure, and related banking processes.
  • Process amendments such as transfer of shares, change of managers, activity modifications, and property upgrades/downgrades.
  • Manage liquidation, de-registration, and reinstatement of companies.
  • Handle attestation and legalization of corporate documents through relevant UAE authorities.
  • Process and coordinate administrative tasks such as PO Box registration, Dubai Court services, UBO updates, AML registration, and translation of documents.
  • Ensure accurate and up-to-date client information is recorded in the Project Management System (PMS).
  • Maintain updated knowledge of UAE regulations, fees, and procedures related to company formation and immigration.
  • Provide direct communication with clients, ensuring timely updates on their ongoing tasks.
  • Support the finance team with quotation requests, invoice processing, and cost management for client services.
  • Build and maintain strong relationships with free zone authorities, banks, embassies, government agencies, and third-party service providers.
  • Contribute to marketing initiatives by sharing industry updates and supporting promotional activities.
  • Promote a positive and cooperative work environment within the team.
Job Requirements:
  • 1-3 years of experience in corporate services, company formation, or a related field.
  • Bachelor's degree in a relevant discipline.
  • Language: English and Russian (Mandate)
  • Advanced computer proficiency.
  • Smart professional appearance and strong interpersonal skills.
  • Ability to work independently, manage multiple tasks, and perform under pressure.
  • Effective team player with strong coordination skills.
