Job Brief:We are looking for a highly organized and proactive Office Manager / Personal Assistant to provide comprehensive support to the executive management. The ideal candidate will manage office operations, assist with personal tasks, and ensure smooth coordination across various administrative functions.
Job Responsibilities:- Oversee day-to-day office operations ensuring a productive and efficient environment.
- Provide comprehensive personal assistance to senior management, including managing their schedules, arranging personal and professional travel, and handling confidential matters.
- Organize and prioritize daily tasks for management, ensuring timely follow-up on key actions.
- Handle correspondence and communications on behalf of management, including emails, phone calls, and letters.
- Manage personal and professional calendars, including scheduling meetings, appointments, and events.
- Coordinate and organize meetings, ensuring all necessary materials and resources are prepared in advance.
- Take and distribute meeting minutes, ensuring follow-up on action items.
- Prepare reports, presentations, and documents for management as needed.
- Act as the point of contact between the management and internal/external stakeholders.
- Oversee office supplies, services, and liaise with external vendors, ensuring a seamless operation.
- Assist with HR and finance-related documentation and coordination, such as employee onboarding, payroll processing, and filing expense reports.
- Handle confidential files and documents, ensuring data accuracy and maintaining confidentiality at all times.
- Coordinate travel arrangements (flights, accommodation, transport) and ensure all logistics are in place for both personal and business trips.
- Monitor and manage expense reports and office budgets as required.
- Provide general administrative support as needed, including filing, organizing, and managing documents.
- Support the management in special projects, both personal and professional, as assigned.
- Manage office events, team-building activities, and occasional social events for staff or clients.
