Job Brief:
We are looking for a dynamic Sales Administrator / Coordinator to support sales administration and operations. The ideal candidate will have a proven background in the automotive industry, strong analytical and organizational skills, and the ability to ensure smooth coordination across departments.

Job Responsibilities:
Sales Administration:
Reporting and Documentation:
  • Create and maintain reporting templates to ensure timely dissemination of monthly sales and order reports.
  • Maintain dealer profiling, agreements, contracts, and other essential documents while monitoring expiry dates.
Sales Team Support:
  • Provide support to the sales team during their absence by liaising with dealers and offering administrative assistance.
  • Coordinate monthly sales meetings and provide data input/reports to aid in decision-making.
Inventory and Market Analysis:
  • Track inventory levels, identify slow-moving stock, and assist in decisions regarding liquidation or write-offs.
  • Oversee inventory management, order sheets, and pricing for the motor pool.
  • Analyze market data and market share for actionable insights.
Coordination and Communication:
  • Facilitate cross-functional coordination to ensure seamless operations.
  • Collaborate with IT to update the dealer website, social media platforms, and marketing portal.
Pricing and Trend Analysis:
  • Create and update price builder tools and conduct competitor pricing trend analysis.
Sales Operations:
Order Management:
  • Process monthly production orders, review for accuracy and collaborate with teams to prioritize based on sales volume.
  • Analyze dealer-submitted orders against the production plan.
Logistics and Budget Coordination:
  • Liaise with logistics and finance for timely shipment execution.
  • Support budget preparation and execution, coordinating with finance and dealers.
Expenditure Monitoring and Reporting:
  • Monitor dealer budget expenditures monthly and prepare reports for analysis.
  • Submit expense reports covering commissions, interest charges, and storage fees.
Marketing and Communication Support:
  • Facilitate the distribution of marketing materials and contribute to monthly newsletters.
  • Update business trip schedules and visitor logs.
Job Requirements:
  • Minimum 5 years of experience in sales coordination/administration, preferably in the automotive industry.
  • Bachelor’s degree in Business Administration or a related field.
  • Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint.
  • Familiarity with platforms and applications related to business analysis.
  • Strong knowledge of automotive products, parts, and applications.
  • Exceptional attention to detail, proactive problem-solving, and decision-making skills.
  • Strong interpersonal and relationship-building skills.
  • High level of integrity and professionalism.
  • Nationality: Asians preferred.
  • Willingness to travel.
  • English fluency is mandatory.
